Can a bubble bag shipment have the right total count and still be incomplete? Yes. A duplicated micron variant can conceal a missing one, and loose replacement bags can be mistaken for complete set components. Reconcile each order line and each agreed set recipe before releasing the shipment for resale.
This guide concerns contents verification for bubble bag orders, not selecting a filtration sequence. Use it when purchasing multiple sets, loose replacements or several micron variants in one delivery.

Start with the confirmed contents, not the catalogue range
The five gallon all-mesh single-bag page lists 25, 45, 73, 90, 120, 160, 190 and 220 micron options. Available options are not a promise that every order contains all eight. The same page includes general range information, so confirm whether accessories and set components actually apply to the selected single-bag or bundle quotation.
For every set, write a contents list with one row per variant and a quantity per set. Specify nominal gallon size, all-mesh or canvas-and-mesh construction, selected micron, and the agreed item reference. List carry bags, collection screens and other accessories separately when included.
Calculate expected quantities by variant
For each variant, expected bags equal the number of sets multiplied by bags of that variant per set, plus any separately ordered loose bags. Keep quantities in individual bags during this reconciliation, even when the commercial price is per set.
As an illustrative order only, suppose ten sets each contain one 25, one 73 and one 220 micron bag, with five extra 73 micron bags ordered separately. Expected quantities are ten, fifteen and ten respectively: 35 bags altogether. This is a counting example, not a recommended filtration combination, standard EXTRACTPHYTO set or minimum order.
If delivery instead contains ten, fourteen and eleven, the total is still 35. The order nevertheless has a shortage of one 73 micron bag and an extra 220 micron bag. Do not offset those differences unless the buyer has explicitly accepted the substitution.
Keep carton reconciliation and set reconciliation separate
First compare cartons received with the packing list. Then compare the contents of the examined cartons with the line-item allocation. A correct master-carton label does not demonstrate that every enclosed retail set has the right contents.
Agree the inspection scope before dispatch. If only selected retail packs are opened, record how they were selected and how many remain unexamined. Do not report all sets as verified when only outer labels were checked. Plan how opened packs will be resealed and kept identifiable.
Use a discrepancy worksheet
- Purchase order and packing-list revision.
- Set or loose-bag item reference and full selected specification.
- Expected, received, examined and held quantities.
- Carton or pack identifiers containing the discrepancy.
- Observed labels, photographs and the checking method.
- Proposed replacement, return or other agreed disposition.
Color can assist sorting, but the approved specification and micron label should determine identity. A color match does not verify aperture. If the sewn label and carton description disagree, hold the affected items for clarification rather than changing the label yourself.
Check whether complete sets can actually be assembled
A shipment may contain enough bags overall but too few of one required variant to fulfill all sets. Calculate complete sets from the limiting component, while preserving the allocation for separately ordered replacements. Do not quietly consume loose bags reserved for another customer to make a set shipment appear complete.
When replacement stock arrives, link it to the original discrepancy and record the final counts. The replacement bag fit checklist covers physical compatibility; the batch traceability guide covers production and delivery references. Neither replaces a contents reconciliation.
Request a clearly itemized quotation
EXTRACTPHYTO is a China-based manufacturer. Send your proposed set contents and loose replacement quantities with your company and destination, or email [email protected]. Include this article title. Ask for confirmed availability, accessories, packing units and a variant-by-variant packing list. Custom assortment availability and checking arrangements must be agreed before the order is placed.
