Bubble Bag Batch Traceability: Linking Reorders to Approved Specifications

What should a bubble bag batch record contain? Link the purchased SKU and approved specification revision to a supplier production reference, delivery reference and receiving record. Confirm what lot information the supplier can actually provide before placing the order. A color label or a repeat product name alone does not establish that two deliveries have the same specification.

This is a purchasing and inventory guide. It proposes records to agree with your supplier; it does not claim that every product already carries a batch code or a certified traceability system.

Separate product identity from production identity

A SKU identifies the item you buy. A specification revision identifies the version you approved. A batch or lot reference identifies a defined production group, while a delivery number identifies a shipment. These references serve different purposes: one shipment can contain more than one production batch, and one batch may arrive in several deliveries.

The five gallon all-mesh single-bag listing provides multiple micron options. Therefore “five gallon all mesh” is not enough detail for an inventory record. Include the selected aperture specification, dimensions as agreed, construction and label requirements. Do not use the range of available options as the contents of an individual order.

Agree a practical minimum record

Record field Example of what to record Purpose
Buyer item reference Your SKU and supplier item reference Connects warehouse and supplier records
Approved version Specification or drawing revision and approval date Identifies what was agreed
Production reference Supplier lot identifier, if available, with its defined scope Groups units made under that reference
Delivery reference Purchase order, shipment and carton identifiers Locates the received units
Receiving outcome Inspection date, quantity accepted or held, observations Records the disposition of the delivery

Ask the supplier to explain the scope of its production reference. Does it relate to finished bags, a sewing run or incoming mesh? Do not assume that a finished-product code automatically gives access to every raw-material record. If a particular level of traceability is essential, specify it as an order requirement and obtain confirmation.

Distributors often open bulk cartons and sell smaller quantities. If the only production reference remains on a discarded master carton, the connection can be lost. Decide how an internal receiving label, inventory system or accompanying document will preserve the source reference for each outgoing allocation.

Keep different lots identifiable when storing otherwise identical products. If lots must be mixed in a customer shipment, record which quantities came from each source. Avoid replacing the supplier reference with an internal code unless a retained record maps the two.

Use change control for repeat orders

A repeat purchase order should reference the approved specification version, not merely say “same as last time”. Ask the supplier to notify you before changing agreed mesh, dimensions, seam construction, labeling or packaging. Determine which changes require a new sample or written approval.

The sample approval guide covers the initial physical approval. Batch records serve a later purpose: keeping subsequent deliveries connected to that approved version. The label and packaging approval guide addresses artwork; a batch reference should be treated as a separate identification requirement, even if it appears on the same label.

Handle a discrepancy without losing the evidence

Suppose a distributor receives two deliveries of the same SKU and identifies a dimensional discrepancy in one. Record the affected delivery and production references, the number inspected, the observation method and photographs. Keep the affected stock separate while the supplier reviews the issue. Do not assume the entire shipment or every previous delivery is affected without evidence.

Traceability helps define what needs investigation. It does not prove conformity, identify a root cause or replace the agreed inspection method. A batch code and an inspection report answer different questions.

Request traceability requirements with your quotation

EXTRACTPHYTO is a China-based manufacturer supplying bubble bags for wholesale and private-label orders. Send your proposed SKU structure, selected specifications, quantities and required record fields. Ask which identifiers and supporting documents can be supplied, where they will appear and whether any additional cost or lead time applies. Agree the record format before production rather than assuming it will be available after delivery.

Request an EXTRACTPHYTO quotation or email your requirements. Include your company, product specification, quantity and destination.
