How many replacement bags should a distributor keep? Use demand for each exact SKU and the time needed to replenish usable stock. Complete-set sales and a gallon label alone cannot determine replacement demand. A reorder point tells you when to review or place an order; it does not automatically determine the order quantity.
The EXTRACTPHYTO bag catalogue includes individual replacements as well as sets. This guide addresses inventory arithmetic after compatibility has been approved, rather than selecting a micron rating or predicting product life.

Keep each replacement specification separate
The five-gallon All Mesh single-bag listing offers multiple micron options, including 25, 45, 73, 90, 120, 160, 190 and 220 microns. These options should not share one undifferentiated stock balance. Record capacity, construction, micron, approved dimensions and supplier reference for each SKU.
Track sales or issues of that exact item. If an item was unavailable, fulfilled sales may understate demand; retain unfilled requests separately. Remove returns and internal transfers from customer demand where appropriate. Do not infer replacement frequency from a claimed universal service life.
Measure lead time until stock is usable
Replenishment time can include approval, production, dispatch, transit and receiving checks. Use the interval from the ordering trigger to stock being available for sale or issue, with consistent calendar or working-day units. Confirm the expected date for the selected specification rather than relying on a generic catalogue stock label.
The lead-time guide explains the stages. For inventory planning, keep actual elapsed lead times from completed orders as well as the latest supplier commitment. A delayed shipment can invalidate an otherwise correct reorder calculation.
Calculate a simple reorder point
For a basic continuous-review approach: reorder point = average daily demand × replenishment lead time + safety stock. This is a planning model, not a guarantee against shortages. Safety stock should reflect demand variation, lead-time uncertainty and the service level your business chooses.
Illustrative distributor example only: one approved SKU has average demand of two individual bags per day, a 21-day replenishment interval and an independently chosen buffer of 12 bags. Expected lead-time demand is 2 × 21 = 42 bags. The reorder point is 42 + 12 = 54 bags. These are hypothetical inputs, not EXTRACTPHYTO sales data, delivery commitments or recommended stock levels.
Compare the trigger with inventory position
Count usable on-hand stock, add confirmed inbound supply and subtract outstanding customer demand, without deducting the same allocation twice. Keep quarantined, damaged or specification-unconfirmed bags outside usable stock.
Continuing the hypothetical example, 35 usable bags plus 20 confirmed inbound bags minus six outstanding bags gives an inventory position of 49. Since 49 is below 54, the rule triggers a replenishment review. Check inbound due dates as well: supply arriving too late does not prevent an earlier shortage, even if the overall inventory position looks adequate.
Choose the order quantity separately
The 54-bag trigger does not mean ordering 54 bags. Quantity depends on the target coverage period, pack quantities, supplier minimums, storage capacity and the purchase budget. Ask the supplier to quote the required individual SKU quantities and confirm any pack rounding before approval.
If inventory is reviewed only once a week, include the review interval when designing the coverage policy; a continuous-review trigger should not be copied unchanged. For sparse or highly seasonal demand, inspect the order history and scenarios instead of treating a short-run average as a reliable forecast.
Review the rule after each delivery
Compare planned and actual demand, receipt dates, shortages and excess stock. Update the inputs when the evidence changes. A new specification requires its own demand record; follow the replacement fit checklist before treating an alternative as interchangeable.
